Summer Art Camp 2023
Policies and Procedures

Welcome to Wayne Art Center Summer Art Camp 2023! To keep SAC 2023 fun and creative for all, we have outlined a few important guidelines. Please take a few minutes to read below and thank you for your continued support.

Registration
Camp registration is available online at wayneart.org/camp. Please be aware that camp sessions fill quickly, therefore early registration is strongly recommended. Registrations are reserved on a first-come, first-served basis. Class space will not be reserved until full payment is received. Decisions to cancel classes based on enrollment are made three days prior to each camp start date.

Membership
Wayne Art Center is member supported, therefore, an up-to-date individual or family membership is required to enroll in all camps. Memberships are valid from September 1 through August 31 each calendar year. For membership information, please call 610-688-3553 for details or visit wayneart.org.

Payment
Payment is due in full upon registration. Wayne Art Center accepts cash, check, Visa, MC, AMEX, or Discover card for all tuition and membership payments. Receipts for registration and payment are emailed, so be sure that Wayne Art Center has your most recent email address on file. This receipt serves as your confirmation of enrollment.

Scholarships
Wayne Art Center offers a limited number of scholarships based on financial need. Scholarship requests must be submitted in writing, at least 30 days prior to the class start date to Wayne Art Center’s Executive Director, Nancy Campbell, at nancy@wayneart.org. For information on how to submit a request, please call 610-688-3553.

Class Cancellations
Wayne Art Center reserves the right to cancel camp classes due to insufficient enrollment. If a camp is cancelled, families will be notified at least three days prior to the start of camp. An alternate camp will be offered. If there is no class available that suits your family’s needs, a 100% refund will be made in the form in which it was received. While it is rare in the summer, if a class is cancelled due to unavoidable circumstances, an alternative class will be offered, or a refund will be issued for the date of cancellation.

Withdrawal / Transfers

Camp class withdrawals made within 10 days prior to the start of camp, will be issued a credit made payable to your Wayne Art Center account. Credits are valid one year from date of issue. All withdrawals are subject to a 20% processing fee.

Camp class transfers will incur a $25 processing fee. Please contact registration 10 days prior to the start of any camp class to request a transfer.

Medical, Emergency and Release Forms

All forms are to be completed through ePACT, a secure online emergency network. After an online registration is submitted, parents will receive an email from ePACT that contains a link to create an account; click on the ePACT link and follow the instructions to complete all medical and emergency information. Please check your email and contact us if you have not received the link within 2 weeks of registering for camp. Links are usually emailed 24 to 48 hours after registration. You MUST sign up for ePACT via the emailed link ONLY. ePACT forms need to be completed, signed and submitted prior to the start of camp classes.


Classes

  • Morning classes begin promptly at 9:30 am and end at 12:00 pm. Please plan on dropping off no earlier than 9:25.
  • Afternoon classes begin at 12:30 pm and end at 3:00 pm. Please plan on dropping off no earlier than 12:25 pm.
  • Late afternoon classes run 3:30 pm – 5:00 pm. Please plan on dropping off no earlier than 3:25.
  • Full time students should be enrolled in LUNCH BUNCH. Those in LUNCH BUNCH will be supervised until 12:30 pm during which time they will eat lunch & play in our children’s garden (weather permitting). Students will then be escorted by WAC Staff/Volunteers to their afternoon classes.
  • Students staying for late afternoon sessions will have a supervised snack/play break from 3:00 pm to 3:30 pm.

Drop Off and Pick Up Procedures
All children under the age of 10 are to be dropped off and picked up in their classroom. If your child has permission to walk home, you will need to submit a signed permission form to the camp office. Thank you for your cooperation in ensuring the safety of all our campers.

Pick Up: Please use the ePACT link and form (that will be sent to you via email upon camp registration) to indicate anyone who is authorized to pick up your child. If a child is not picked up by the end of the camp session:
1. Parents/guardians will be contacted on all listed phone numbers.
2. If parents cannot be reached, the emergency contact will be called. Your child will be in the camp office and Wayne Art Center Staff will monitor the child until he or she is collected. A fee may be incurred for late pick up.

Food & Beverage
Each camper should bring a nut free snack to camp each day. Students staying for Lunch Bunch must bring their own nut free lunch. There will likely be times when campers go outdoors. We strongly recommend that all campers bring a water bottle to camp. Wayne Art Center is a public building and therefore, we cannot guarantee that we are completely allergen free; however, please refrain from packing any product containing nuts or snacks and lunches to help us ensure that Summer Art Camp is a fun and safe environment for all. Students staying for a late afternoon class must bring their own nut free snack and water bottle.

Illness
Please exercise extra caution if your child is not feeling well before camp. If your child is not feeling well, parents or caregivers will be contacted. You or an approved alternate will be requested to pick up your child in a timely manner.

Camp Attire
Please dress your child in clothing that can get dirty. We highly recommend sturdy closed toed shoes such as sneakers as children will be outside for lunch & snack (weather permitting).

Electronic Devices
Please do not send children with electronic devices such as an iPad or video games. If a camper must bring a cell phone, it must stay in a backpack and be silenced. If you need to communicate with your camper, please call Wayne Art Center at 610-688-3553 or email reception@wayneart.org.

Lost and Found
Please label all your child’s possessions. A lost and found area is located at the end of the hallway outside of the front offices. Any unclaimed items will be relocated to the lost and found at the end of each day. Any items not claimed at the end of the last day of each camp session will be donated or discarded.

Behavior Standards
Wayne Art Center expects all campers to demonstrate kindness, respect and responsibility. A child will be given several warnings before they are removed from a class or activity. The child will be brought in to speak with the Camp Director. Parents will be notified of this situation.

If a child is exhibiting unresolvable and unacceptable behaviors, we will request that a parent or guardian come to Wayne Art Center to pick up the child upon notification. If behavioral issues cannot be resolved, WAC reserves the right to remove the child from the class/camp session for the remainder of the week. No refunds will be issued in this circumstance.

Permission to Photograph
Wayne Art Center reserves the right to photograph any work, class, student, or event, and to reproduce the images at its discretion without incurring any obligations.
